How filing works

Every month we prepare your tax returns from your calculated transactions, you get a few days to check them, and then we submit them to the tax authority. We encourage you to check your returns and approve them yourself. This page explains each step and what to do if something is missing or wrong.

The monthly cycle

  1. The month closes. Around the start of the month, the transactions you calculated for the previous month are locked in and sent to prepare your returns.
  2. Your returns are ready. We email you when they have been generated. You can see them in Filings.
  3. You review them until the end of the 5th. You can add missing data and approve any return yourself during this time.
  4. We finalise what is left. If you have not approved a return by then, we finalise it as it is from the 6th.
  5. We submit. Finalised returns are submitted to the tax authority before their deadline. We email you once all of the month's returns are finalised, with the amount due and the payment deadline for each.
ℹ
The review end date is the 5th by default. Your reminder emails and the Filings page always show the exact date for your returns.

Reviewing a return

Open Filings from the menu. Your returns are listed with their status, amount due and the date they are due to the tax authority. Select Details next to a return to open a side panel with:

  • Key facts: the amount due, the due date and the payment deadline.
  • Documents: the files for the return, which you can download and check against your own records.

A return that says Ready for your approval is waiting for the review period to end, or for you.

What "approve" means

Approving a return means you confirm the figures are right so we can submit it to the tax authority. To approve one yourself, select Approve in the list or in the side panel, then confirm.

ℹ
An approved return cannot be changed or withdrawn, so check the figures first. If you spot a problem before approving, add the missing data as described below.

If you do nothing

Please check your returns and approve them before the review period ends. If you have not approved them by then, we finalise them as they are and start submitting them. We do not finalise a return this way when:

  • it is a backdated return (an earlier period you asked us to file). You approve these yourself;
  • a data file you uploaded for the month has errors;
  • the return has a problem we are looking into (its status says Needs attention);
  • a bank account is needed for the payment and none is on file. Add one under Filings, then Configuration, then Payment account;
  • finalising has been switched off for your account. We wait for your approval instead, and say so in the email.

Need more time? Pause a return

If you need longer to check a return, select Pause next to it in the list or in the side panel. Choose the last day of the pause and confirm. While a return is paused we do not finalise it. You can still approve it at any time.

  • How long: up to 10 days. The pause can never run past the 15th of the month after the period, or the last day the return can be approved. The date picker only offers days that are allowed.
  • How often: a return can be paused once, and your organisation can pause up to 5 returns in any 12 months. The list and side panel show how many you have left.
  • Ending it early: select Resume. We then wait until the next day before we finalise the return, so you still have a fair window to review it.
  • When it ends: we email you shortly before it ends. After the last day of the pause, you get one more day to review before we finalise the return as it is.
  • Not available for: backdated returns, returns we do not finalise automatically, and returns already approved. When Pause is greyed out, the reason is shown next to it.
ℹ
We still aim to file on time, but that is no longer guaranteed for a return that has been paused. Full terms are in the Terms of Service.

Adding missing data

Transactions you calculate with us are included in your returns for you. If some of your sales were made elsewhere, for example in another system, add them before the review period ends so they are included in the same return.

  1. Open Upload data from the Filings menu and choose the month.
  2. Download the template (Excel or CSV) and fill it in, or use a file in the same layout.
  3. Drop your file onto the page. You can add more than one file for the same month. Each new file shows Not processed yet.
  4. When all your files are in, select I've added all my data and confirm the declaration. We then process the files together.
ℹ
Data you have uploaded but not confirmed is left out of your returns. A month stays open for uploads until the end of the review period, and closes sooner once a return for it has been approved.

If a file has errors

A file is only used if every row in it is correct. One error means the whole file is rejected, and the month cannot be confirmed until it is fixed. We do not approve that month's returns in the meantime, because they would be missing the data in the file.

  1. Open Upload data and choose the month. The file is marked Had errors.
  2. Select Download error and warning report to see what needs correcting.
  3. Fix the file and select Replace to add the corrected version, or select Delete to remove it.
  4. Select I've added all my data again.

If the review period has already ended, uploads for the month are closed. Contact us and we will help you get the corrected data into the return.

Backdated returns

If you asked us to file earlier periods, those returns are marked Backdated. We never finalise them for you. Review each one and approve it yourself when you are happy with it.
